Beehive Healthcare require part time Office Administrator/Supervisor for the Ilford office.
The job role demands a high level of office competency and excellent communication skills to cope with the demands of a busy office environment. Candidates that are unable to full-fill the below duties need not to apply. This position is initially part time and may extend to full time hours.
He/She will be required to communicate by telephone, email and letter, to supplier businesses, Client Hospital and end-user customers in the discussion of purchases sales and services. You will supervise the junior staff members involved in day to today running of the patient appointments system. All patient appointments are issued from the Ilford office for patients seen in the Essex Beehive Healthcare clinics. You will be supervising staff to ensure all appointment list for each clinic is completed 2 weeks in advance.
You will also be responsible for maintaining company accounts in both spreadsheet and with in a QuickBooks accountancy package.
In order to achieve this, you will need to be proficient with Microsoft Office computer software package, have general computer skills and clear telephone communication skills
The tasks involved in the job function shall include, and are not limited to:
Invoicing and reconciling accounts on QB.
Dealing with daily office duties.
Communicating with the CCG and local Essex hospitals.
Receiving and maintaining ultrasound referrals from GP/s and Hospital.
Liaising with GP practices and Essex hospitals for Ultrasound referrals.
Sort out all referrals received keeping accurate records of patients and communicate with the referring clinician/Hospital.
Maintaining accurate records of patients attended and seen in our clinics, patients that did not attend and other records as required.
Maintaining accurate records of all other company activities.
Maintaining office documentation in a tidy, accessible manner.
Answering telephone calls in the Company name in clear concise polite manner.
Forward and Answer emails as required in good written English.
Maintain Company Databases in an accurate manner.
Telephone, email communication with prospective clients, customers and suppliers, in order to promote the company and our services, as directed.
Maintain a clean and tidy office environment.
Any other administrative based task, as instructed by the Company Management.
Process, maintain and edit contact details with in spreadsheets, and CRM’s.
Edit Company websites if required.
An additional recruitment company “Sonographers medical” operates out of the same office environment, and you will also be required to assist in additional administration related to Recruitment work with this company when required. This may be in the form of telephone calling, and general office duties.
The hours of work shall be Monday – Friday, 09:00 – 17:00 hours, excluding Bank Holidays.
